The challenge
Invoices moved between PDFs, spreadsheets and the ERP, with staff manually entering information and chasing approvals.
Each handoff introduced opportunities for duplicate entries, missed invoices and reconciliation delays. Backlogs grew faster than the team could clear them, forcing finance to spend more time correcting errors than performing higher-value work.
The data foundation
Automating accounts payable required connecting the information needed to read an invoice, validate its details and move it through approval into the ERP
Invoice documents
PDFs and scans provided the source information for automated extraction.
Purchase orders
Order records provided a reference for validating invoice details.
Approval requirements
Routing rules directed invoices to the appropriate reviewers.
ERP records
Validated invoice data flowed into the ERP, with transaction history retained for traceability.
What we built
A connected workflow that handles routine invoice processing and brings discrepancies to the team’s attention before they create delays
- 01
Capture
OCR extracts invoice information from PDFs and scans, reducing manual entry and preparing the data for validation.
- 02
Validate
The workflow checks invoice details against purchase orders and verifies totals. Discrepancies are flagged for review.
- 03
Approve and post
Invoices are routed for approval and posted to the ERP once approved. Each transaction carries a full digital audit trail.
Routine invoices move through the workflow on their own; the team sees only the exceptions that need a decision.
The outcome
The company processes $2M+ in annual billing through an automated workflow, with invoice processing moving from days to minutes.
Capture accuracy exceeds 90% across PDFs and scans. Connected validation and approval routing reduce the need to re-enter information and manually move invoices between systems.
Finance staff can focus on reviewing exceptions and resolving issues, while a full digital audit trail makes every transaction easier to trace.
